Last updated: 2026. These terms cover both ways to run Onsites AI: the cloud (SaaS) subscription and the self-hosted annual per-seat license. They are written to be read, not skimmed past.
Onsites AI ("the Service") is provided by Onsites. By creating a workspace, buying a plan or deploying a self-hosted license, you agree to these terms. If you are agreeing for an organization, you confirm you may bind it.
Free tier. The complete software, 3 seats and 100 MB of storage, free forever — not a trial. It shows a small Powered by Onsites AI badge until your first payment. We may change the free tier, but not retroactively and never without notice.
Seats. $15 per seat per month from the 4th seat, billed in USD. The first month is prorated daily. Remove seats any time; the change applies from your next billing cycle.
Storage. Additional storage is sold as rolling monthly packs at $1 per GB (10/50/100/500 GB). Chats, emails and attachments all count toward storage, but text is tiny. Downgrading never deletes your data.
AI credits. Credits are prepaid packs from $10, never expire and never recur. A credit is spent only when AI actually produces output; failed operations are not charged. Purchased packs are non-refundable once credits have been spent.
The self-hosted track is a software license, not a subscription: $15 per seat per month, billed annually, with a minimum of 10 seats. The price is the same whether you deploy on your own LAN or in your own cloud account. The license is non-exclusive, non-transferable and limited to the seats you license. You may not resell, sublicense or reverse-engineer the software; open-source components remain under their own licenses.
You provide the runtime and the storage, and — on this track — the AI model as well (your own API key, an internal model or an air-gapped deployment). We are not responsible for the availability, cost or output of the model endpoint you choose. Installation, software updates and technical support are included in the per-seat price for the license term. Seats added mid-term are prorated to your renewal date.
All prices are in USD. Cloud payments run through our payment provider; self-hosted licenses are invoiced annually. Invoices are issued for every payment and are available in settings. Prices exclude applicable taxes, which you are responsible for where they apply. If we change prices, existing paid terms hold until the end of your current cycle, and you get at least 30 days' notice.
Cloud seats. Any seat charge — a first purchase or a renewal — is refunded unconditionally within 14 days of the charge. Ask from the billing settings or by email; after 14 days the paid period is earned. Duplicate or obviously mistaken charges are corrected at any time.
Consumption is not refundable. A refund covers what you have not used. Spent AI credits are consumed and stay spent; within 14 days of buying a pack you can request the unspent balance back — once per pack. A storage pack is refundable within 14 days only while it holds nothing: storage your data occupies beyond the included 100 MB counts as consumed, and consumed capacity is not refundable. Data is never deleted — a downgraded workspace simply pauses new uploads.
AI credits. Spent credits are not refundable. Within 14 days of buying a pack you can request the unspent balance back — once per pack. After 14 days the balance stays as credit.
Self-hosted licenses. Not refundable — on any order, direct or through a reseller, at any point after purchase. That is what the 60-day trial is for: run the full product, and buy the license only when your pilot is done.
Reseller orders. Licenses resellers buy from us are final sale in every case. Refunds to end customers are between the reseller and their customer, under the reseller’s own policy.
Onsites AI is a tool for real customer conversations, and that shapes who we accept. You may not open or run a workspace — on the cloud track or self-hosted — for any of the purposes below.
If we learn a workspace exists for one of these purposes, we suspend it — with notice where the law and the situation allow, and without notice where the law forbids giving one.
You keep all rights to the data you bring into the workspace. We use it only to provide the Service, as described in the Privacy Policy. AI features (Copilot, Harness) generate output from your own workspace data; that output is machine-generated and may be wrong or incomplete. You are responsible for reviewing documents and replies before they reach your customers.
The cloud service is provided without an uptime guarantee in these terms; paid customers get priority support, and self-hosted licenses include installation, updates and technical support as described on their plan pages. Feature availability may vary by track; both tracks run the same software and the same feature set.
The software, the brand and the documentation belong to Onsites. Your workspace content belongs to you. If you send us feedback or suggestions, you grant us a perpetual, royalty-free license to use them to improve the product — but we will never publicly identify you as the source without permission.
Cancel anytime from settings; the paid period simply runs to its end. After cancellation we keep your cloud workspace exportable for 30 days, then delete it (see the Privacy Policy for backup timelines). Self-hosted licenses terminate at the end of the paid term unless renewed; the software already on your infrastructure keeps your data, and it is your decision whether to continue running it.
The Service is provided "as is" except for the express commitments in these terms. To the maximum extent permitted by law, neither party is liable for indirect or consequential damages, and each party's total liability is capped at the amounts paid in the 12 months before the claim. Nothing in these terms limits liability that cannot be limited by law.
These terms are governed by the laws of the entity's place of establishment, without regard to conflict-of-law rules. Disputes will be resolved in the courts of that jurisdiction.
Material changes get at least 30 days' notice by email or in-product before they take effect. Continuing to use the Service after that means you accept them; if you don't, you can cancel and export your data.
