What is Onsites AI?

Onsites AI is a free support desk with a built-in CRM, sales documents (quotes, orders, invoices, contracts), a product catalog and an AI assistant. Four products share one database so every customer conversation has full context.

Is it really free?

Yes. The complete software, three seats and 100 MB of storage are free forever. It is a permanent free tier, not a trial. You only pay when you add a fourth seat, more storage or AI credits.

What are Onsites Chat, Onsites CRM, Onsites Mail and Onsites AI?

They are the four products of the Onsites suite. Chat is the multi-channel inbox, CRM covers accounts and pipeline, Mail covers quotes/orders/invoices/contracts, and AI provides Copilot and Harness. They share one system.

Which channels are supported?

Today: the website widget, email, Telegram, WeChat, LINE, WhatsApp and Messenger — all in one queue. Our goal is every channel your customers use; Instagram is next on the roadmap.

Can several teammates work one conversation together?

Yes — it is a shared inbox by design. Everyone sees the same conversation with the customer’s context; shared drafts let two people shape a reply before it goes out, private notes keep internal remarks internal, and tags organize the queue.

Does it include a CRM?

Yes. Onsites CRM covers accounts, contacts, opportunities and the deal pipeline, and every conversation auto-links to its customer record. You never copy context between the inbox and the CRM — it is one database.

Can I send quotes, invoices and contracts from the same place?

Yes. Onsites Mail drafts quotes, orders, invoices and contracts from one editor against a shared product catalog, then moves each document through status transitions with a full trail. A built-in AI filter screens incoming spam, phishing and harmful mail — included in the product.

What does the chat widget look like on my website?

A clean bubble that opens into a concierge conversation with the visitor’s context already in view. On the free tier the widget carries a "Powered by Onsites AI" mark — the first payment removes it permanently.

Are there SLAs, tags and private notes?

Yes. Onsites Chat ships with SLAs, tags, private notes and shared drafts — the daily mechanics of a support team, part of the product rather than paid add-ons.

Can I see who is on my site right now?

Yes — visitor tracking shows who is browsing and which pages they are on, so a conversation can start with context instead of "how can I help you?"

Is there internal team chat?

Yes — team chat is part of the suite and shares the same database, so the quick internal question about the customer you are helping stays next to the conversation instead of in a separate app.

What languages is Onsites AI available in?

The interface is English today, with all mainstream languages on the roadmap. Conversation translation via AI already works — see the AI section below.

Pricing & billing

Do I have to choose a plan?

No. There is one free plan. You add seats, storage and AI credits only when you need them.

Is there a trial or a time limit?

No trial, no timer. The free tier is a permanent plan — the whole product, 3 seats and 100 MB of storage, no credit card required to start. It does not expire and does not nag.

What do seats cost after the first three?

$15 per seat per month, and it kicks in only when you actually add the fourth seat. Seats are prorated daily — one added mid-month is billed just for the days it is used.

What counts against storage?

Chats and emails count too, but text is tiny — the 100 MB free tier stores countless messages. Attachments, files and documents are what add up.

How does storage pricing work?

One dollar per GB per month, sold as rolling monthly packs (10/50/100/500 GB). Downgrading never deletes data — it pauses new uploads when the limit is reached.

What do AI credits cost?

Prepaid packs, not a subscription: $10 for 1,100 credits, $20 for 2,400 or $50 for 6,500. One credit is about $0.01 — so a Copilot action runs about $0.03 and a full Harness tool run about $0.24.

Do AI credits expire?

No. Credits never expire. They are only spent when AI is actually used, and a soft spend limit is on by default.

What if I run out of credits mid-conversation?

AI pauses immediately and you are prompted to top up from $10. The inbox keeps working normally.

Can I cap what my team spends on AI?

Yes — the soft spend limit is on by default. When the line is reached, AI actions pause and everything else keeps working; raise the cap whenever you are comfortable.

When does the watermark go away?

With your first payment — an added seat or an AI top-up works. Removed permanently, not per-month.

How do I pay, and can I get invoices?

Seats, storage packs and AI top-ups are all handled from the billing area of your workspace, and invoices are issued there too. The billing docs walk through each meter.

Can I get a refund?

Yes — cloud charges are refunded unconditionally within 14 days: any seat payment, new or renewal (and seat or storage purchases made by mistake or twice are corrected at any time). What you have consumed is not refundable: spent AI credits stay spent, and a storage pack counts as consumed once your data occupies space beyond the included 100 MB. Credit packs bought within the last 14 days can return their unspent balance once. Self-hosted licenses are not refundable — that is what the 60-day trial is for.

AI: Copilot & Harness

What is Copilot?

Copilot is the writing assistant inside every conversation: draft a reply from scratch, polish what you typed, change the tone, translate or summarize. Each action costs a few credits — a draft is 3.

What is Harness?

Harness is the workspace-aware assistant: ask it a question in plain language and it answers using your CRM, handbook and chat history — with the sources it used shown, so you can verify. An ask is 15 credits; a run that also works through tools (CRM, handbook, chat history) is 24.

What sources can Harness use?

Your workspace itself: the CRM — accounts, contacts and deals — the handbook content your team maintains, and past conversations. Every answer displays its sources; nothing outside the workspace is consulted.

Which AI actions use what?

Copilot drafting, polishing and tone are 3 credits; suggested replies 6; auto-translation 3; conversation summaries 6; a Harness ask is 15; a Harness run with tools (CRM, handbook, chat history) is 24.

Can AI translate conversations?

Yes — auto-translation is one of the Copilot actions, 3 credits per use, so you can serve customers in their language and still reply in yours.

Can I plug in my own AI model?

In self-hosted mode, yes — point Onsites at an endpoint you control: your own API key, an internal model or an air-gapped one. The cloud track runs on our managed model.

Can I switch AI off?

You never have to configure anything to avoid costs: nothing is charged unless an AI action actually runs, the soft spend limit stops AI at the line you set, and the desk works fully without AI if you simply never use it.

Self-hosting & data

Can I run Onsites AI on my own servers?

Yes. The self-hosted track runs on your LAN or your own cloud for $15 per seat per month, billed annually, 10 seats minimum. You provide the AI model and the storage — no AI or storage fees — and installation, software updates and technical support are included. See the self-hosted page.

How is self-hosted deployed?

Docker-based. You run the containers on your own hardware or in your own cloud account — your LAN, your VPC. The image, installation steps and update path are in the deployment guide.

What exactly do I provide in self-hosted mode?

The infrastructure and the AI model: a machine or VM, storage under your control, and a model endpoint — an API key, an internal model or an air-gapped one. Everything else is part of the license: installation, software updates and technical support.

Does self-hosted work without internet?

The core software runs fully disconnected. AI requires a model endpoint — bring your own API key or point it at an internal model running in your network.

Does my data ever leave my network on self-hosted?

No. In self-hosted mode the data lives on infrastructure you control and Onsites has no access to it. The only external call is the AI endpoint you chose — which can sit inside your own network.

Is the cloud version SaaS?

Yes — the cloud track is SaaS: we host and run it, you subscribe per seat and top up storage and AI credits as needed. The self-hosted track is not SaaS — it runs on your own LAN or in your own cloud, billed annually per seat, with installation, updates and support included.

Can I migrate from cloud to self-hosted?

The software is identical, so export from cloud and import into your self-hosted instance (and back) is supported.

Can I migrate from another help desk?

Yes. Import of conversations, contacts and documents from common formats is available. See Cloud setup.

How do updates work on self-hosted?

Updates ship as part of the license — the same releases the cloud track runs, with an update path documented in the deployment guide. Technical support is included if you get stuck.

Can I try self-hosted before buying?

Yes — every self-hosted start begins as a 60-day trial of the full product, no payment up front. Buy the 10-seat license only when your pilot is done, because licenses are not refundable afterwards — direct orders and reseller orders alike.

Security & privacy

How is my data protected?

Traffic is encrypted in transit (TLS) and data at rest is encrypted. Access follows seat-based controls and actions leave audit trails. The security page has the details.

Where is my data stored in the cloud track?

In Onsites’ cloud infrastructure, encrypted in transit and at rest. See Security.

Can Onsites staff read my conversations?

Your workspace is yours: seat-based access controls decide who inside your team sees what. In self-hosted mode Onsites has no access to your data at all — it never leaves your network.

Are there backups?

Paid cloud workspaces get automatic backups. On the free tier we keep no server-side backup of your workspace — export your data from settings whenever you want a copy. In self-hosted mode your data lives on your own infrastructure, and the backup scripts in the deployment guide are part of the license.

How do I request data export or deletion?

Email support@onsitesai.com — data-protection requests reach the same team as everything else, and the Privacy Policy describes how personal data is handled.

How do I report a security issue?

Responsible disclosure goes to the same address: support@onsitesai.com. Security reports are treated seriously and answered within one business day.

Onsites, an independent software company. Onsites is built for teams that sell, support and invoice daily — because we are one ourselves, and the product starts from our own desk rather than from a pricing committee.

Is there a partner or reseller program?

Yes — two tracks. Refer customers and earn 25% of what they pay in year one, then 20% for as long as they stay. Or resell self-hosted licenses at 30% off the list price and keep 100% of your services. Rates and rules on the Partners page.

Where are your terms and policies?

The Terms and Privacy Policy are linked from the footer of every page — plain English, no gated PDF.

Who is not allowed to use Onsites AI?

Anyone using it for unlawful purposes: fraud, scams, malware, selling illegal goods, harassment, impersonation, child-safety violations or spam. Sanctioned parties may not use the Service on either track, and mass-creating workspaces to dodge the meters is prohibited too. The full list is in "Acceptable use" in the Terms.
